Job description

Hello, let’s meet!

Who We Are

While Xebia is a global tech company, our journey in CEE started with two Polish companies – PGS Software, known for world-class cloud and software solutions, and GetInData, a pioneer in Big Data. Today, we’re a team of 1,000+ experts delivering top-notch work across cloud, data, and software. And we’re just getting started.

What We Do

We work on projects that matter – and that make a difference. From fintech and e-commerce to aviation, logistics, media, and fashion, we help our clients build scalable platforms, data and AI solutions, and cutting-edge applications to shape the future of tech. Our clients include McLaren, Aviva, Deloitte, Spotify, Disney, ING, UPS, Tesco, Truecaller, AllSaints, Volotea, Schmitz Cargobull, Allegro, InPost, and many, many more.

We value smart tech, real ownership, and continuous growth. We use modern, open-source stacks, and we’re proud to be trusted partners of Databricks, dbt, Snowflake, Azure, GCP, and AWS. Fun fact: we were the first AWS Premier Partner in Poland!

Beyond Projects

What makes Xebia special? Our community. We support tech communities, organize meetups (Software Talks, Data Tech Talks), and have a culture that actively support your growth via Guilds, Labs, and personal development budgets — for both tech and soft skills. It’s not just a job. It’s a place to grow.

What sets us apart?

Our mindset. Our vibe. Our people. And while that’s hard to capture in text – come visit us and see for yourself.

About Project:

We are looking for a Technical Business Analyst to support the delivery and scaling of an enterprise Generative AI platform used to build client-facing and internal AI-powered solutions. This role operates at the intersection of product, engineering, data/ML, security, and business teams.

You won’t be writing production code, but you will play a critical role in ensuring that complex AI initiatives move smoothly from idea to production — with clarity, structure, and strong stakeholder alignment.

You will be:

  • running a structured intake process for new AI use cases, assessing feasibility, value, and delivery readiness,

  • translating business needs into well-defined epics and stories with clear acceptance criteria,

  • maintaining a transparent backlog and prioritization approach aligned with platform capacity and strategic goals.

  • coordinating work across platform, integration, security, and business teams,

  • facilitating stand-ups, triage sessions, dependency reviews, and release go/no-go decisions,

  • maintaining RAID logs, proactively remove blockers, and escalate risks early when needed.

  • building and maintaining a multi-quarter roadmap for the Generative AI platform,

  • aligning IT, data/ML, architecture, risk, and business stakeholders around priorities and delivery plans,

  • providing concise, executive-ready updates and decision materials.

  • standardizing onboarding, security, and compliance playbooks for AI use cases,

  • ensuring observability, operational readiness, and support runbooks are in place before go-live,

  • tracking and supporting AI safety, data protection, and responsible AI requirements across initiatives.

  • defining and track KPIs such as time-to-pilot, time-to-production, usage, cost, and SLA adherence,

  • monitoring platform capacity and costs; forecast demand and manage quotas,

  • building dashboards and reports that support leadership visibility and decision-making.

  • driving enablement through documentation, training sessions, office hours, and communities of practice,

  • capturing and promoting reusable patterns, reference architectures, and delivery templates,

  • supporting AI pilots through scale-up, capturing value realization and key learnings.

Job requirements

Your profile:

  • 5–8+ years of experience in technical program management, delivery analysis, or PMO roles within platform, data/AI, or enterprise technology environments,

  • strong technical intuition, particularly in:

    • Generative AI concepts (LLMs, embeddings, RAG, agents, prompt management, guardrails, evaluation),

    • modern DevOps and MLOps practices (CI/CD, containers, infrastructure as code, observability),

    • API-first platforms and integration patterns.

  • proven experience coordinating work across engineering, data/ML, security, infrastructure, and business teams in a matrixed environment,

  • excellent communication skills, including executive-level updates, risk communication, and facilitation,

  • strong delivery tracking and tooling skills (work management tools, documentation, dashboards),

  • comfort operating in ambiguity and a proactive, ownership-driven mindset

Nice to have:

  • experience launching or scaling internal AI/ML or developer platforms,

  • exposure to public cloud AI services, model providers, agent/orchestration frameworks, or evaluation pipelines,

  • familiarity with data privacy, security, and responsible AI practices,

  • understanding of AI cost models, usage forecasting, and unit economics,

  • background in consulting, professional services, or multi-stakeholder environments.
